What breaks on a rooftop unit

A rooftop unit sits in the weather all year where nobody sees it. These are the common failures, and what is usually behind each one.

  1. Running but not cooling

    Often a dirty outdoor coil, a failed capacitor or contactor, or low refrigerant from a leak. On a unit with two compressors, one may have dropped out: the space keeps up on mild days and falls behind on hot ones.

  2. No heat on the first cold morning

    The gas heat section sat idle all summer. A failed igniter, a dirty flame sensor, a pressure switch fault or a tripped limit is typical. Cooling can work perfectly while the heat is dead.

  3. Weak airflow at the registers

    Clogged filters come first. After that, a worn or squealing blower belt, a slipping pulley or a failing blower motor. When a belt snaps, the unit sounds as if it is running and no air moves.

  4. Water stains on the ceiling tiles

    Often it is not the roof. The unit's condensate drain may have blocked, so the pan overflows into the building. It tends to appear in the first humid stretch of summer.

  5. Stuffy on mild days, or bills creeping up

    The economizer, the damper that lets a unit cool with outdoor air in mild weather, may be stuck. If it is stuck shut, you lose that cooling. If it is stuck open, the unit fights outdoor air in July and January.

    An electrical fault, a failing compressor or a motor drawing too much current. Leave the breaker off and call. Resetting it again and again can turn a repair into a replacement.

Maintenance that keeps a business open

Rooftop units fail for dull reasons. A filter nobody changed, a belt that frayed for months, a drain that slowly plugged, a coil matted with cottonwood fluff. None of it matters until the unit stops on the hottest Friday of the summer. Commercial equipment also works harder than a house system: longer hours, doors opening all day, more people, more outdoor air to heat and cool. That is why filters in a business usually need changing more often than at home.

A sensible routine is a cooling check in spring and a heating check in fall. We change the filters, inspect and adjust the belts, clean the coils, clear the drains, test the economizer dampers, check the gas heat section and tighten and test the electrical connections. Then we tell you what we found, including the parts that are wearing but have not failed yet, so you can plan for them instead of being caught off guard by them.

Gas smell or a carbon monoxide alarm in the building

Get everyone out first. For a gas smell, do not look for the leak or flip switches: leave, then call 911 and your gas utility from outside. If a carbon monoxide alarm sounds, move everyone into fresh air and call 911. Call us once the building has been declared safe.

Repair or replace a rooftop unit?

No rooftop unit comes with a fixed lifespan, and how it was looked after matters more than the calendar. A younger unit with a failed motor, contactor or igniter should be repaired. The question gets serious when an older unit needs a compressor or a heat exchanger, or when it has started needing something every season. The usual guide applies: if the repair costs more than half the price of a new unit, look hard at replacing it.

Refrigerant is part of the picture. A unit that runs on R-22 can still be repaired and nobody is required to replace it, but no new R-22 has been made or imported in the United States since 2020, so the supply is recovered and stockpiled refrigerant that only gets scarcer. A leak on one of those units is a strong reason to replace. If you are a tenant, read your lease first, because the party who pays for a repair and the party who pays for a replacement can be different.

What replacing a commercial unit involves

A new unit should be sized to the space as it is used now, not copied from the nameplate of the old one. A shop that became a restaurant, or an open office that was divided into rooms, has a different load from the one the original unit was chosen for. Oversized equipment short cycles and leaves the space clammy in summer. We also check whether the new unit fits the existing roof curb and duct openings or needs an adapter, and that the gas and electrical supply suit it.

Then there is the changeover. Getting a unit onto a roof usually means a crane, and the building has no heating or cooling from that unit while the swap is under way. We agree on the day with you ahead of time, so you can plan around the gap. You will know the plan and the price before anything is ordered.

How often should commercial HVAC be serviced?

Twice a year suits most small commercial buildings: cooling in spring and heating in fall. Filters need attention more often than that, and how often depends on the business. A quiet office is easy on filters. A restaurant, a salon, a workshop or anywhere with a door that opens all day is not. Why is one part of my building hot and another cold?

Usually because the space has changed and the ductwork has not. Walls go up, a tenant rearranges the layout, and the supply and return grilles end up serving rooms that no longer exist. A thermostat left in the wrong room after a remodel causes the same complaint. We check airflow room by room before we blame the equipment.

What is the difference between commercial and residential HVAC?

The principles are the same; the packaging and the workload differ. A house usually has a furnace in the basement and an air conditioner outside. A small commercial building usually has everything in one cabinet on the roof, often on three-phase power, bringing in outdoor air for the people inside. It runs longer hours, so its filters, belts and coils need attention more often.
